Description


The inventory module allows you to add items to your inventory by creating new purchases, add product names in the software, adjust your inventory and view your serialized inventory. 



                                           Add Inventory 


New Items



Purchases allow you to add products to your inventory. When you are buying phones, headphones, chargers and etc, you are purchasing items from a vendor. You can enter this information in the software, and once it is entered you can later sell these items from your inventory. For example, if you're running out of iPhone 5's in your store and you need to re-stock them, you can create a new purchase in CellSmart POS which will add the product to your inventory, and allow you to sell it later.

Creating a Purchase


  1. Click on the inventory icon.
  2. Then click on the new items icon.
  3. Enter the Item code/name of the product you are purchasing in the item code field.
  4. Select the product from the list of products within the product window. (if the product does not exist the software will notify you, and give you the option to create a new product)  
  5. Enter the quantity(how many) of the product you're purchasing in the quantity field.  
  6. Enter the cost price of the product in the cost price field. (i.e How much the product cost you)
  7. The Total amount field will tell you the total amount of the products you're purchasing. (i.e How much it will cost you in total)
  8. Click the shopping cart button to add the items to the purchase.
  9. You may repeat steps 4-7 to add more products to the purchase.
  10. You can click on the Save button to Enter your payment information or the Save and Close button to save and close the purchase and be done.
  11. After clicking on the save button, the payout window will give you three options:
    • Previous amount: By selecting the previous amount, the balance will not be deducted from the register and will be calculated as a previous transaction.
    • Register amount: You may select this option if you're paying from your register. The balance will be deducted from the register after the purchase has been complete.
  12. Click the save button and your purchase will be created.

                                        

                                                     Product


New Product 



In CellSmart POS a product is a name of an item that you can save in the software. When you create a new product you are saving the product name in the software with its details. Creating a product will not add the product to your inventory. To add a product to your inventory you must create a new purchase. Creating a product will allow you to sell the product, put it on layaway, purchase the product and etc. You are able to create products for services, repair devices, payments and used items.


Creating a Product
  1. From the home screen, click on the inventory icon.
  2. Then click on the Product icon.
  3. Enter or generate the UPC/SKU code of the product.
  4. Enter the name of the product.
  5. Select the category of the product by clicking on the drop-down menu OR create a new one by clicking on the add new category button.
  6. Click save to create the product.


SKU/UPC Codes

The SKU or UPC codes can be used to purchase or sell items. However, serialized items ( that contain a unique serial number such iPhones, tablets, etc.) can only be purchased using the SKU/UPC codes. They cannot be used to sell because all serialized items contain a unique serial number that differentiates them from one another. In order to sell serialized items, their unique serial number must be scanned. On the other hand, Itemized items ( chargers, cases, headphones, etc) can be sold and purchased using their SKU/UPC codes because they do not contain any IMEI or Serial numbers.




Adding a Product Image

You are able to upload images for the product you are creating by:

  1. Clicking on the add product image icon                        
         


       2.  Selecting from the options given:

  • Add Image: Upload an image of the product through your PC.
  • Capture Image: Capture an image of the product using your integrated camera/webcam.
  • More Images: The software will provide you with a few  online images that relate to the product name. Select an image of the product that fits best.
  • Remove Image: Remove an image by clicking on the minus button.

Click out from the window and make sure to click save.  


Tabs within the Product Window:






General Tab
  • Override Cost Price:  Overriding the cost price will disregard the cost price that was entered in the cost type and will calculate the static cost price that will be entered. By overriding the cost price of a product, its original cost price will not be visible, and the static cost price will be its cost price.
  • Cost on Sale: By selecting this option, you are making the product's selling price equal to the cost price. When creating a product you may select this option from the general tab and click save. When you're selling the item the selling price of that item will be the same as its cost price when you purchased the item. You can later check your profit and loss report which will confirm that there was no profit made by selling the item. Selling these items will not affect your daily target.

Barcode Tab

  • Scan the barcode of a product in the barcode field. Click the plus icon and save it as your barcode. With the barcode you can easily scan the product and sell or purchase all itemized items in a few clicks!


Additional Info Tab

  • The Maximum and Minimum values allow you to restrict yourself from adding or not adding products to your inventory, For example, if you enter a Max amount for a product, you will only be able to add that number of products in your inventory. And, if you enter a Min amount you will only be able to have that amount in your inventory and not less.

Related Products

  • Related Products allow you to add any products that are related to the product you are creating so it's convenient for you to add them to the invoice while selling your product. For example, if you add a phone case as a related product to an iPhone it will show up on the main Dashboard while you're selling the iPhone so you can easily add it to the same invoice. You may add related products for items that most frequently sell together.

Other Stores

  • Create the same Product in your other stores by simply selecting your store/s from the list and clicking on the save button after making changes.



Inventory Adjustment 


The Inventory adjustment module allows you adjust the items you have in your inventory. This is only used when there's a mistake in the inventory count and your products are more than what you have in your inventory.You are able to see your product's name, price, average cost, balance in inventory and the actual amount. You are only able to adjust the actual quantity of the item from the actual quantity column.

NOTE: Inventory adjustment is NOT used for selling purposes. To sell , you must  scan or enter the name of the product through the main dashboard. This module is only used to fix mistakes in the inventory such as having the same product count twice in your inventory and etc.



Adjusting Inventory

  1. From the home screen, click on the inventory icon.
  2. Then click on the inventory adjustment icon.
  3. Once the Inventory adjustment window opens up enter the actual quantity of the products you have in your inventory in the actual quantity field.
  4. Once your done entering the actual amounts you may click save.
  5. And your inventory will be adjusted.

Serialized Inventory


All products containing unique serial numbers such as phones, tablets, iPods and etc, can be found in the serialized inventory. The Serialized inventory allows you to search for serialized products differentiated by categories. You are
able to search for each and every serialized product that you have in stock or out of stock.





Viewing a product
  1. From the home screen, click on the serialized inventory icon.
  2. Select a product category from within the window by clicking on the eye icon.
  3. Then select the product you want to view by clicking on the eye icon from the list.
  4. You'll be presented with the item's serial number.  From there you may select the item and click on any options that are highlighted above in the options menu.





Note: To View the items that are not in stock, you may check the show out of stock check box in the serialized inventory window.




Search the item to view its previous activities

you can Search any item through the search serial module to view its past activities such as its purchase invoice, sales invoices, return invoices and etc.

To do so you may:

  1. From the home screen, click on the serialized inventory icon.
  2. Select a product category from within the window by clicking on the eye icon.
  3. Then select the product you want to view by clicking on the eye icon from the list.
  4. You'll be presented with the item's serial number.  From there you may select the item and click on Look Up option above to search the item through the Search Serial module.


Editing a Product's serial number

  1. From the home screen, click on the serialized inventory icon.
  2. Select a product category from within the window by clicking on the eye icon.
  3. Then select the product you want to view by clicking on the eye icon from the list.
  4. You'll be presented with the item's serial number.  From there you may select the item and click on the Serial Swap option above.  
  5. When the Edit Serial window opens. You'll be provided with the product's name, its current IMEI number listed as the Old serial number and a serial number field which will be highlighted in yellow for you to change.
  6. In the Highlighted yellow Serial number field, enter the new IMEI number of the item and click save to make the changes.



Selling items through the Serialized Inventory module

You may sell any serialized item from the serialized inventory module. To do so you may:
  1. From the home screen, click on the serialized inventory icon.
  2. Select a product category from within the window by clicking on the eye icon.
  3. Then select the product you want to view by clicking on the eye icon from the list.
  4. You'll be presented with the item's serial number.  From there you may select the item and click on the shopping cart icon from the highlighted options above which will bring the item directly to the main dashboard ready for sale.

History of Purchases



The List of purchases provides you with all the purchases that were made in the software. In the List of Purchases, you can view a list of your purchases and print, edit, delete any purchases you have made.



Searching for a Purchase
  1. From the home screen, click on the purchase icon.
  2. From the list of your purchases, you can enter the vendor name or the ID number of the invoice in the search field and the software yield all the invoices related to the search.
  3. OR you can search for an invoice manually by scrolling down the list.

Viewing purchases

To view a specific purchase you may:
  1. From the home screen, click on the purchase icon.
  2. Select your purchase from the list.
  3. Click on the Eye icon from the options above to view the purchase.

Printing purchases
  1. From the home screen, click on the purchase icon.
  2. Select your purchase from the list.
  3. Make sure your printed is connected
  4. Click on the print icon to print the purchase.

Deleting a purchase
  1. From the home screen, click on the purchase icon.
  2. Select your purchase from the list.
  3. Click on the trash bin icon from the options to delete the purchase.

NOTE: By deleting a purchase the items you bought and added to your inventory in that purchase will be deleted and if you payed from your register, you will receive a refund.



Editing purchases
  1. From the home screen, click on the purchase icon.
  2. Select your purchase from the list.      
               
Add more products: To add more products to the purchase, enter the IMEI code/ name of the product in the item code field then select the product and click the shopping cart button to add it to the invoice. Click save after making changes.

          Change the quantity of items: To change the quantity of the items you have added to your purchase, you may click select  your item from the invoice then enter the new amount in the quantity field.Click save after making changes.

          Change the Cost Price: To change the cost price of the items you have added to your purchase, you may select your item from the invoice then enter the new price in the cost field. Click save after making changes.

         Splitting the value in Cost Price: Splitting the value will split the Tax and/or shipping amount within the cost price of the purchase. For example, if you're purchasing  a phone and a charger from a vendor and it cost you $40 and $10 and an extra $10 on shipping or taxes you can enter the amount and split the value in cost price which will divide the amount into however many items you have in your purchase. Since we had a phone and a charger in our purchase, it will divide the $10 we had on shipping based on each product's percentage of the total cost. Therefore, the phone will cost $48 and the charger will cost $12. This will allow you to even-out your purchase based on each product's percentage amount with respect to its total cost.Click save after making changes.  
     
         Purchase and Vendor notes: You can enter any notes regarding the purchase or the vendor in their respective boxes. These notes will not be printed in the transaction receipts but will be saved in the software.Click save after making changes.  
         


History of Products



The List of products provides you with a list of all the products that are added to the software. These include payments, products, services , repair parts and etc. The list of products allows you to view, print, edit and delete products in the software.



Viewing products
  1. From the home screen, click on the product icon.
  2. From the list of products, select the product you want to view.
  3. Click on the Eye icon from the options to view the product.


Editing Products

  1. From the home screen, click on the product icon.
  2. From the list of products, select the product you want to Edit.
  3. Click on the Pencil icon from the options to eEdit the product.
  4. Click save after making changes.


Deleting Products

NOTE: You are not able to delete products that are still in your inventory/ in stock.

  1. From the home screen, click on the product icon.
  2. From the list of products, select the product you want to delete.
  3. Click on the Trash Bin icon from the options to Delete the product.
  4. Enter the reason, and click OK.
